Hands down I think one of the BEST TIPSΒ I have to share is getting familiar with what your iPhone calendar has to offer and using it as a VERY IMPORTANT tool! My calendar is what helps me stay on top of a packed calendar and allows me to sprintπŸšπŸ’¨from one activity to the next (like i explained in my ABOUT section). Do I always want to sprint? No…but such is life..I PROMISE YOU, if you give it a try you will be handsomely rewarded and reap the benefits with cutting down on stress levels and making you feel more organized and less overwhelmed. Just hear me out! I’m not kidding it’s literally ONE EXTRA STEP. Believe me, 1 extra step goes a loooong way when you have a busy and active life filled with activities, appointments, parties, etc! I’ll show you step by step how to 1. Use your calendar and 2. Color coordinate your calendar by kid/person! Ok are you ready to take organization to the next step? DO NOT get frustrated or overwhelmed by my tutorial coming up, just power thru it, its actually very easy and I provide pics step by step… Let’s go!πŸšπŸ’¨For those of you who are still keeping paper calendars and “books”…and you know who you are πŸ€”πŸ€”πŸ€”πŸ™„πŸ™„πŸ™„πŸ˜±πŸ˜±πŸ˜±…I just caaaaaan’t with you…πŸ““βœ–οΈYou are a lost case…😀

Ok so first let’s go over how to use your calendar and make an entry. For a few minutes we are going to forget about color coordinating…but IM NOT BACKING DOWN on this one! I recommend reading this first and then trying it out, or doing it with an iPad or someone else’s phone while you read along. Or screen shot and refer to your pictures…Or if your brain isn’t shot, try to memorize and then apply it…😳

Here we have a very typical day of mine…this was my calendar on Tuesday March 15. So when I have to organize the schedules of the 4 kids plus mine on one calendarΒ this isΒ how it would look! My default calendar is set to ME and I’m RED.Β πŸ™‹πŸ½πŸ”΄



Above March 18 you will see 3 lines with dots. That’s your calendar view, click that and you switch between 2 views. I like the view that I’m showing above. Ok so now in order to make an entry you very easily click the + button in top right hand corner and it brings you to this screen where you can start a NEW EVENT.



So you enter your TITLE and LOCATIONΒ (if u want), you choose your time, and if it’s a repeat. REPEATΒ is for example a dance class that is every week on the same day. I’m going to pretend I’m adding DANCE starting Tuesday afternoon at 4pm-5pm for every Tuesday. If it’s a one time event then leave it alone, the default is set to never (meaning one time event). If it’s a repeat you choose Repeat and then these next 4 screens will open in this order.

1. You choose your repeat option which I chose EVERY WEEK.

2. Then it brings you back to the originalΒ screen saying for a NEW EVENTΒ but now I want to choose END REPEAT.



3. You can choose from NEVERΒ or ON DATE. So if I know the class ends May 19 I will scroll and put the calendar on the date I want it to end. Sometimes if I’m lazy I’ll just keep it on neverΒ if I don’t know the end date off hand or in a rush.

4. After scrolling to the “right date” then I go back to the previous screen (top left) where it says new event (click it) and then the event is ALL set up


At that point you can also add an INVITEE, say your husband or a family member or friend if they are involved. ItΒ will send them an invite and when they accept it, it automatically adds to their calendar.Β πŸ†’right? Now your husband can’t say he didn’t know that he HAD to drive to dance carpool. (What do u mean? You don’t make your husbands do this? Sorry Craig!) At this point you’re basically done, in the top right hand corner press ADD! How easy was that? Ok so now let’s take it to the next level.Β πŸ“…βœ…


Ok now the moment I’VEΒ been waiting for! How to make your life easier and more organized by color coordinating your calendar by person. Again I promise it’s just ONEΒ MORE step but it will go a LONGΒ way! First I’ll tell you why it’s helpful. Visually it’s more appealing and neater. On first glance or on quick rushed glance it allows you to see each child separately instead of all your entries as just a bunch of times and words in the same color block. It’s helpful because you can easily pick out each kid, and get a feel for their day- what appointments they have and what free blocks of time they have. For example on a weekend this is helpful because you can pinpoint who is busy and who is free quicker, especially when you have multiple events on a day and you are feeling like you are spread thin!Β Instead of reading thru each entry and having to remember which entry is for each person you will begin to visually remember which color is for each person. Does that make sense?

Ok so all you really need to do is the setup.Β πŸ˜ƒOnce the ground work is done for you, and I promise it’s easy, all you need to do is add your entry and pick which color calendar (person) the entry is for!

Ok so first thing you are going to do is click the word CALENDAR on the middle bottom! It will bring you to the nextΒ screen, where you will choose in the top left hand corner EDIT.


Then under your existing calendars, you may just have one default calendar with a default color (mine is red), you will choose ADD CALENDAR. You type in the name of your new calendar, I use the persons name (HaileyπŸ’š,DylanπŸ’œ, ShaneπŸ’™, SkylerΒ πŸ“œetc…)Β so for example I am typing in the name NEW KID for NEW KID I DO NOT HAVE Β πŸ™„πŸ™„πŸ™„and then selecting NEW KID’S COLOR (brown) and press DONE and it brings you to the next screen!Β  (Skyler is actually already brown but IVE RUN OUT OF COLORS…shoot what does this mean??? Does that mean I can’t have any more kids!? OMG!!! WHAT IS THE MEANING OF LIFE!!!)πŸ‘ΆπŸ»βŒ


Keep adding calendars and choosing their uniqueΒ color. As you can see I have a lot of calendars and I’m even specific because I chose to do a combo calendar for my girlsπŸ’›and one for my boysπŸ“™. Oftentimes my girls take a class together or are invited to a birthday party together and now the same thing is happening for my boys.Β πŸ‘­………πŸ‘¬

Ok so now let’s say I wanted to add a NEW DATE EVENT for NEW KID.


So you start adding your entry for a new event the same way I explained in Part 1. TITLE, LOCATION, REPEAT, END REPEAT ETC…This time I’m making it a one time event, which basically means I am writing in the title and choosing the time.



All you do now is choose WHICH CALENDAR you want the event to be colored with…so I am clicking CALENDAR and then in the next screen I am choosing NEW KID by selecting the brown calendar and pressing DONE and VOILAAAAAAAA!!!!!

Ok now I must sprint to erase new kid from my list of Calendars before my darling husband sees it, since he shares my Calendar with me. But that’s a whole nother post forΒ another day…(HOW TO SHARE YOUR CALENDARS). He literally sees every single calendar and every single event. Why, you may ask? Obviously so he knows how busy I am (VERY), and so he doesn’t DARE ask me what I did all day! VERY NERVY! Also, so he doesn’t have to ask me if we have plans Saturday night, or if he’s free to watch football on Sunday afternoon, sorry Charlie, your not free, you have a gymnastics party Shane needs to be driven to! Catch you later honey!πŸšπŸ’¨Β Some people may not want their spouseΒ to know what they are doing, that’s fine, for me it’s about surviving and teamwork so for us to be able to survive it’s imperative that he keeps abreast of our week and knows what to expect, and so then he doesn’t double book!Β πŸ’‘
